Simply Builds and Stoves NE Ltd, trading as Simply Stoves NE, supplies, installs, services and maintains wood burning and multi-fuel stoves across Tyne and Wear and the wider North East. We are the data controller for the personal information described in this policy.

What we collect

Information you give us

When you contact us, request a quote or book a survey, we collect the details you provide. That is usually your name, phone number, email address, the address of the property and whatever you tell us about the room, the chimney and what you are looking for.

If you send us photographs of your property so we can survey remotely, we hold those too.

Information we collect automatically

Our website collects limited technical information such as your IP address, browser type, device type and the pages you visit. This is used to keep the site working and to understand how it is used. See our cookie policy for detail.

Information from other sources

If you contact us through Facebook or Instagram, or leave a Google review, we may see the information those platforms make available to us.

How we use it, and why we are allowed to

UK GDPR requires us to have a lawful basis for using your information. Ours are set out below.

• Responding to your enquiry and preparing a quote. Steps taken at your request before entering into a contract.
• Carrying out the survey and the installation. Performance of our contract with you.
• Notifying the installation under Building Regulations and issuing certification. A legal obligation.
• Keeping records for accounting and warranty purposes. A legal obligation, and our legitimate interest in being able to honour a warranty.
• Sending you marketing emails. Your consent, which you can withdraw at any time.
• Improving the website. Your consent, given through the cookie banner.

We do not sell your personal information to anyone, and we do not use it for automated decision making or profiling.

Who we share it with

We share your information only where it is necessary to deliver the service or where the law requires it. That includes:

• HETAS and your local authority building control, to notify and certify your installation. This is a legal requirement.
• Manufacturers, where a warranty needs registering in your name.
• Our suppliers and service providers, such as website hosting, email and accounting software.
• Professional advisers and authorities, where we are legally obliged to disclose.

Everyone who processes information on our behalf is required to keep it secure and to use it only for the purpose we have given it to them for.

How long we keep it

• Enquiries that do not become jobs. Up to 12 months.
• Customer and installation records. Up to 6 years after the work, for accounting and warranty purposes.
• Certification and Building Regulations records. Retained for the life of the installation where practical.
• Marketing consent records. Until you withdraw consent, plus a short period afterwards so we can evidence that consent was given.

When we no longer need your information we delete it or anonymise it.

Your rights

Under UK GDPR you have the right to:

• Ask what personal information we hold about you and get a copy of it
• Have inaccurate or incomplete information corrected
• Ask us to delete your information, where we are not legally required to keep it
• Object to or restrict how we use it
• Ask us to transfer it to another provider in a portable format
• Withdraw consent at any time, where consent is what we rely on

Email us and we will respond within one month. There is no charge.

If you are not happy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first so we can put it right.

Keeping it secure

We take reasonable technical and organisational measures to protect your information, including secure hosting, access controls and encrypted connections. Your information is stored in the UK or the European Economic Area.

No system is completely secure, so we cannot guarantee absolute security, but we will tell you and the ICO promptly if a breach occurs that is likely to affect your rights.

We may update this policy from time to time. The current version is always the one on this page, and the date it was last updated is shown at the top.
